Privacy Policy

This policy explains what personal information GoTime collects, how it is used, when it is shared, how long it is retained, and the choices available to customers and website visitors.

Introduction

This Privacy Policy describes how GoTime Fitness, the business operating the GoTime Athletics brand, collects, uses, discloses, retains, and protects personal information through the GoTime Athletics website, online stores, customer accounts, order systems, forms, and customer-support processes.

In this policy, “GoTime,” “we,” “us,” and “our” refer to GoTime Fitness in its operation of GoTime Athletics.

This policy applies to website visitors, customers, account holders, organization representatives, form submitters, and people who contact GoTime.

This policy does not apply to an independent third party’s website, service, or privacy practices.

1. Information you provide directly

We may collect information you provide when you:

  • Place an order
  • Create or update an account
  • Request a team store, custom apparel project, fundraiser, or swim-team solution
  • Submit a support or contact form
  • Request an order lookup
  • Request a return, exchange, refund, or product remedy
  • Provide artwork, logos, personalization, or organization information
  • Communicate with GoTime by email or another approved method

This information may include:

  • Name
  • Email address
  • Phone number
  • Billing and shipping address
  • Account username and password credentials
  • Organization name and role
  • Order number
  • Products, sizes, colors, quantities, and personalization
  • Store, team, or distribution information
  • Project goals, timelines, artwork status, and request details
  • Support messages, photographs, and files requested during follow-up
  • Consent and communication preferences

2. Orders and transaction information

When you place or attempt to place an order, we may collect and maintain:

  • Products and variations
  • Prices, taxes, and fees
  • Shipping, pickup, or team-distribution method
  • Billing and fulfillment information
  • Order status
  • Payment status
  • Refunds, cancellations, disputes, and customer-service notes
  • Transaction and payment-provider identifiers
  • Limited payment-method information made available by the payment provider

We use this information to process, fulfill, support, document, refund, and account for transactions.

3. Payment information

GoTime uses Stripe to process payment transactions.

Stripe may receive information required to process, authenticate, secure, or support a payment, including:

  • Customer name
  • Billing information
  • Contact information
  • Purchase amount
  • Order information
  • Device, network, security, and fraud-prevention information
  • Payment credentials entered through Stripe’s payment interface

GoTime may receive transaction identifiers, payment status, card brand, limited card details such as the last four digits, billing information, and related payment records.

Do not send complete payment-card numbers through a GoTime contact form, support form, email, or other nonpayment channel.

Stripe processes personal information according to its own privacy policy.

4. Information collected automatically

When you use the Website, our systems and service providers may automatically collect:

  • Internet Protocol address
  • Browser and device type
  • Operating system
  • Date and time of access
  • Pages and Website functions used
  • Referring page
  • Server and error logs
  • Login and authentication events
  • Security and fraud signals
  • Cart and session information
  • Order-attribution information when enabled

We use this information to operate the Website, maintain security, diagnose errors, prevent abuse, preserve cart functions, and understand how an order reached the Website.

5. Cookies and local browser storage

The Website uses cookies and similar browser technologies that are necessary or useful for:

  • Maintaining a shopping cart
  • Remembering session information
  • Completing checkout
  • Maintaining customer login
  • Protecting accounts and forms
  • Remembering limited Website preferences
  • Recording order attribution when enabled

WooCommerce may use cookies such as:

  • woocommerce_cart_hash
  • woocommerce_items_in_cart
  • wp_woocommerce_session_

WooCommerce’s cart cookies help identify cart changes and connect the browser to cart data. The standard WooCommerce session generally lasts approximately 48 hours.

You may configure your browser to limit or delete cookies, but blocking essential cookies may prevent account, cart, checkout, or store functions from working correctly.

GoTime does not currently use personal information for third-party cross-context behavioral advertising. This policy and the Website’s consent tools must be updated before advertising pixels, behavioral-advertising systems, or nonessential analytics technologies are added.

6. Forms and customer support

Information submitted through Fluent Forms is used to:

  • Evaluate sales and service requests
  • Respond to contact or support questions
  • Identify an order or organization store
  • Communicate next steps
  • Maintain a history of the request
  • Protect forms from spam and abuse

Form notifications and replies may be transmitted through GoTime’s authenticated Google Workspace email system.

Customers should not submit passwords, complete payment-card numbers, Social Security numbers, or other highly sensitive information through a form or email.

7. Customer accounts

When you create an account, we use your information to:

  • Create and authenticate the account
  • Display account orders
  • Save permitted address and profile information
  • Process password setup and reset requests
  • Provide account support
  • Protect against unauthorized access

Customers can update certain information through My Account.

Guest orders are not automatically attached to an account created later.

8. Organization stores and team distribution

When an order uses organization pickup or team distribution, GoTime may share limited information with an authorized organization representative when reasonably necessary to distribute or resolve the order.

This information may include:

  • Customer or recipient name
  • Order number
  • Product and selected variation
  • Quantity
  • Distribution status
  • Information reasonably required to identify the correct package

GoTime does not authorize an organization representative to use this information for unrelated marketing or another unauthorized purpose.

9. How we use personal information

We may use personal information to:

  • Provide and operate the Website
  • Process orders and payments
  • Calculate tax
  • Arrange shipping, pickup, or distribution
  • Produce decorated or personalized products
  • Build and manage organization stores
  • Communicate about requests, orders, accounts, delays, product issues, and refunds
  • Provide customer support
  • Prevent fraud, payment abuse, spam, and unauthorized access
  • Maintain records
  • Comply with tax, accounting, legal, and regulatory obligations
  • Enforce customer policies and Website terms
  • Protect customers, GoTime, organizations, and service providers
  • Improve the reliability and usability of the Website

We do not use a sales or support form submission to subscribe someone automatically to marketing emails.

Any future newsletter or promotional-email program will use a separate opt-in process and provide an unsubscribe method.

10. How we disclose personal information

We may disclose personal information to service providers and other recipients when reasonably necessary for the purposes described in this policy.

These recipients may include:

  • Stripe, for payment processing, fraud prevention, disputes, and refunds
  • Hostinger, for website hosting, logs, security, malware scanning, and backups
  • Google Workspace, for transactional and customer-support email
  • Google Drive, for authorized offsite backup storage
  • Automattic and WooCommerce services, including address-based tax calculation and store functionality
  • Suppliers, manufacturers, decorators, and production partners, when needed to produce or fulfill approved products
  • Shipping carriers and fulfillment providers, when shipping is used
  • Authorized organization representatives, when pickup or team distribution requires limited order information
  • Accountants, tax advisers, attorneys, insurers, and professional advisers
  • Government authorities or other parties, when disclosure is required by law or reasonably necessary to protect legal rights, safety, security, or fraud prevention
  • A successor or transaction participant, if GoTime undergoes a sale, merger, financing, reorganization, or transfer of business assets

Service providers receive only the information reasonably needed for the applicable function and are expected to handle it under their own contractual and legal obligations.

11. Sale and targeted advertising

GoTime does not sell personal information for money.

GoTime does not currently share personal information for third-party cross-context behavioral advertising.

If GoTime adopts a practice that is treated as a sale, sharing, or targeted advertising under an applicable privacy law, this policy and the Website’s customer-choice tools will be updated before that practice begins.

12. Data retention

GoTime retains personal information only as long as reasonably needed for the purposes described in this policy, including customer service, accounting, tax records, fraud prevention, warranty and return issues, dispute resolution, legal compliance, and security.

The current operational retention schedule is:

  • Inactive customer accounts without relevant orders: 24 months after the last login or order activity
  • Pending unpaid orders: 7 days
  • Failed orders: 30 days
  • Cancelled orders: 30 days
  • Completed order records: 7 years
  • Sales, project, and support form entries: generally 24 months after the last relevant interaction, unless connected to an order, active relationship, dispute, or legal requirement
  • Customer-support email: retained as reasonably needed for the request, generally up to 24 months unless a longer period is needed
  • Cart sessions: generally approximately 48 hours
  • Backup copies: retained on rolling backup schedules and may remain temporarily until the applicable backup is overwritten or expires

GoTime may retain information longer when reasonably necessary for:

  • Tax or accounting records
  • An unresolved order or support matter
  • A return, warranty, dispute, chargeback, investigation, or legal claim
  • Fraud prevention
  • A legal hold or regulatory requirement

Information may be deleted or anonymized when it is no longer reasonably needed.

Deleted information may remain temporarily in protected backup copies until those backups expire through the normal rotation.

13. Security

GoTime uses administrative, technical, and organizational safeguards intended to protect personal information.

Current safeguards include:

  • HTTPS encryption
  • Authenticated Google Workspace email
  • Stripe-hosted payment processing components
  • Administrator two-factor authentication
  • Limited user roles
  • Host-level malware scanning and security controls
  • Regular software updates
  • Offsite and local backups
  • Tested recovery procedures
  • Access logging and account review

No website, network, transmission, or storage system can be guaranteed to be completely secure.

Customers should use a unique password and notify GoTime promptly when they suspect account or order misuse.

14. Data incidents

When GoTime discovers a suspected security incident, GoTime will investigate, take reasonable containment and remediation steps, and provide legally required notifications when applicable.

Customers should report suspected unauthorized account or order activity to service@gotimefitness.org.

15. Personal-data requests and choices

Depending on the applicable law and the nature of the information, you may request:

  • Access to personal information associated with you
  • Correction of inaccurate information
  • A copy or export of eligible personal information
  • Deletion or anonymization of eligible information
  • Restriction of certain uses
  • Withdrawal of consent when processing is based on consent
  • Opt-out of future marketing communications

Some information cannot be deleted immediately when GoTime must retain it for tax, accounting, order fulfillment, fraud prevention, security, dispute, or legal purposes.

  • The type of request
  • Information reasonably necessary to verify identity

GoTime may request additional verification before disclosing, correcting, exporting, or deleting personal information.

Customers can also update certain profile and address information through My Account.

16. Account erasure and order records

A request to erase an account does not automatically require GoTime to delete every historical order record.

GoTime may retain or anonymize order information when required for:

  • Tax and accounting
  • Returns and warranties
  • Payment disputes
  • Fraud prevention
  • Legal obligations
  • Enforcement of agreements

Eligible account information may be deleted or anonymized while required transaction records are preserved.

17. Children’s privacy

The Website is a general-audience ecommerce and organization-services website. It is not directed to children under 13.

GoTime does not knowingly request personal information directly from a child under 13 through an account, checkout, sales form, or support form.

Purchases for a child should be completed by a parent, guardian, or authorized adult.

When GoTime learns that personal information was submitted directly by a child under 13 without appropriate authorization, GoTime may delete it or request parental involvement.

18. Third-party websites and services

The Website may contain links to an organization, product brand, carrier, social network, payment provider, or another third party.

GoTime does not control the independent privacy practices of those third parties.

Review a third party’s privacy policy before providing information directly to it.

19. International access

GoTime’s initial selling area is the United States.

Website hosting, email, payments, backups, and other service providers may process or store information in the United States or another jurisdiction in which they operate.

By using the Website, you understand that service providers may process information according to their own legal obligations and privacy policies.

20. State privacy rights

Residents of certain states may have additional privacy rights under applicable law.

GoTime will evaluate verified requests and honor applicable rights when the relevant law applies to GoTime and the requesting person.

GoTime will not discriminate against a customer for exercising a legally protected privacy right.

21. Policy changes

GoTime may update this Privacy Policy to reflect changes in technology, service providers, data practices, Website features, operations, or applicable law.

The updated policy will display a revised “Last updated” date.

Material changes may also be communicated through the Website or another appropriate method.
